This privacy notice is provided in a layered format so you can click through to the specific areas set out below. Alternatively, you can download a copy of the policy here.
1. Summary of this Privacy Notice
This is a summary of our Privacy Notice to help you understand how we collect, use and protect your personal information when you use our app in compliance with the UK GDPR. We strongly encourage you to read the entirety of this notice but have provided a summary of key and relevant points for your attention.
For the purposes of this Privacy Notice, Tanzco is the Data Controller as referenced in the UK GDPR, the UK Data Protection Act 2018, the Data (Use and Access) Act 2025 and the EU GDPR (EU) 2016/679 and is responsible for your personal data.
Any data that is uploaded to TrustVault does not automatically alert the police or any relevant authorities. If you are in imminent danger, please use and contact emergency services immediately.
The collection of your personal data begins from the point of a user registers a user account in the App, Platform or Website. Any user interactions within the App may also be recorded for the purposes of distinguishing between genuine and fraudulent accounts and rating the credibility of information and data stored within the App.
In the instance an alleged criminal offence has been committed, your personal data may be collected, processed, shared and retained to fulfil any legal obligations we may hold as a Data Controller and to perform any activities mandated as a required public task. This is further detailed in Section 5 – How is your personal data collected in this privacy notice.
When you “register” to use the App, you create a user account to access its features and services. Registration involves providing certain personal information. By registering, you agree that we may process this information to provide you with the App’s functionality and ensure your user account is secure, all in accordance with this privacy notice and applicable UK legislation.
Tanzco does not hold or store any personal data within the company itself, except your usernames and phone number necessary to provide the App’s functionality and services. We cannot act on data that has been uploaded to TrustVault, but that we are not aware and have no knowledge of.
Any personal data that we collect about you will be for the purposes as set out in Section 7 – Purposes for which we will use your data.
The following legal bases are what we rely on for the purposes of collecting and using your personal data: performance of a contract with you; legitimate interests; legal obligation; and consent.
If as a user you fall under a “special category” as listed in Section 6 - How we use your personal data, we may continue to collect and process personal data using the following bases: the protection of the vital interests of an individual (in relation to your health and safety); explicit consent; a substantial public interest exists; or the collection and processing is required for the establishment, exercise or defence of legal claims.
There may be instances where we share your personal data with third-parties whose details can be found here: https://www.trustvault.uk/suppliers. Any third-parties that receive such data will do so under our instructions and will be for specified purposes.
In the instance a user of the App, Platform or Website is deemed to be lacking capacity, pursuant to the Mental Capacity Act 2005, we may be required to take certain measures with regards any personal data that is shared. Such measures are set out in the table as in Section 14 – Situations where a VS lacks capacity.
Access to your personal data is limited to those employees, agents, contractors and other third-parties who have a contractual requirement to receive it. All parties will process personal data on our instructions and are subject to a duty of confidentiality.
Personal data may be transferred to international service providers that carry out specific functions on our behalf. All providers will be compliant with any relevant international data and privacy law regulations.
Personal data will be held only for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory or reporting requirements. We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect to our relationship with you.

3. Overview of Tanzco’s support to a VS
We have created the App to provide VS a secure place to store evidence of domestic abuse they may be suffering, communicate with Organisational Users and Friends, access support and plan for life beyond the domestic abuse they are suffering through a “Your Plan” function.
VS user accounts are secured with a password. VS can choose to allow the Police to generate an incident report and access specific evidence stored within their user account by providing them with a “Victim Code” which the Police can use on the Portal. Further information regarding the Victim Code is provided in Section 11 - Data Management and Third-Parties of this privacy notice.
A VS is also provided with a “safety password” to use when under duress or pressured circumstances. The safety password, once entered, will cause the App to display an account suspension screen.
With our support and through a partnership with Visa, VS can obtain a “Visa e-wallet” which allows them to deposit funds and make transactions through a bank account which is separate from any other bank accounts they operate.
VS can also apply to the Tanya Vlok Foundation (charity number 1196444 - https://www.thetanyavlokfoundation.org/privacy-policy) (“Foundation”) for financial support grants. The VS can access the application form (which is held in the Foundation’s website) for such grants via a link in the App. The Foundation is the Data Controller of all personal data submitted during this application process and is governed by its own data privacy framework.
The handling, processing, transferring and any disclosure of personal data in connection with the activities described above will always be carried out in strict compliance with this privacy notice at all times.

Legal basis
The law requires us to have a legal basis for collecting and using your personal data. We rely on one or more of the following legal bases:
Performance of a contract with you: Where we need to perform the contract we are about to enter into or have entered into with you.
Legitimate interests: We may use your personal data where it is necessary to conduct our business and pursue our legitimate interests, for example to prevent fraud and enable us to give you the best and most secure customer experience. We make sure we consider and balance any potential impact on you and your rights (both positive and negative) before we process your personal data for our legitimate interests. We do not use your personal data for activities where our interests are overridden by the impact on you (unless we have your consent or are otherwise required or permitted to by law).
Legal obligation: We may use your personal data where it is necessary for compliance with a legal obligation that we are subject to. We will identify the relevant legal obligation when we rely on this legal basis.
Consent: We rely on consent only where we have obtained your active agreement to use your personal data for a specified purpose, for example if you subscribe to an email newsletter.
The following special categories of personal data are considered sensitive under the laws of England and Wales and may receive special protection:
Racial or ethnic origin.
Political opinions.
Religious or philosophical beliefs.
Trade union membership.
Genetic data.
Biometric data.
Data concerning health.
Data concerning sex life or sexual orientation.
Data relating to criminal convictions and offences may also receive special protection under the laws of your jurisdiction.
If you are a VS, we may collect and process the above special categories of personal data on the following legal bases:
Processing is necessary to protect the vital interests of an individual (this means that there might be a danger to a person’s health or safety).
You explicitly consent to such collection and processing.
Collection and processing are in the substantial public interest (safeguarding of children and of individuals at risk).
Collection and processing are necessary for the establishment, exercise or defence of legal claims (bringing criminal cases against anyone who is a risk to you).
We do not anticipate the need to process special category data relating to Organisational Users, Police, Schools or Friends.
In the instance processing is necessary to protect the vital interests of an individual, we may disclose data that suggests a serious and imminent risk to life that we become aware of, for example, via support messages you send to us or organisational users. This data may be shared with a court through written request or warrant, or to the emergency services and relevant authorities where lawful and necessary, even without your consent.
We cannot act on data that has been uploaded but we are not aware of.
Biometric Data
Where a VS has enabled use of biometrics to access the App, we will collect biometric data from you, including but not limited to, data about your fingerprints and facial geometry. In such instances, our handling, processing, transferring, storage and any disclosure of such personal data shall be strictly compliant with all relevant data protection laws.
Communications with Organisational Users
Any messages that you may send to Friends, Schools or Organisational Users are processed by us. Disclosing information which suggests a serious and imminent risk to life or safety in these messages, Tanzco may contact emergency services or any relevant safeguarding authorities without your consent where this is deemed lawful and necessary.
7. Purposes for which we will use your personal data
We have set out below, in a table format, a description of all the ways we plan to use the various types of your personal data (as outlined in Section 4 - The types of personal data we collect about you of this privacy notice) and which of the legal bases we rely on to do so. We have also identified what our legitimate interests are where appropriate. Cookies
For more information about the cookies we use and how to change your cookie preferences, please see https://www.trustvault.uk/cookie-policy.
9. Disclosures of your personal data
We may share your personal data where necessary with third-parties. Details of these third-parties are available here: https://www.trustvault.uk/suppliers
We require all third-parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.
10. International transfers
We may transfer your personal data to service providers that carry out certain functions on our behalf. This may involve transferring personal data outside the UK to countries which have laws that do not provide the same level of data protection as the UK law.
Whenever we transfer your personal data out of the UK to service providers, we ensure a similar degree of protection is afforded to it by ensuring that the following safeguards are in place:
We may transfer your personal data to countries that have been deemed by the UK to provide an adequate level of protection for personal data.
We may use specific standard contractual terms approved for use in the UK (the International Data Transfer Agreement as approved by the Information Commissioner’s Office (ICO)) which give the transferred personal data the same protection as it has in the UK.
We may use specific standard contractual terms approved for use in the European Union, namely the International Data Transfer Addendum to the European Commission’s standard contractual paragraphs for international data transfers.
11. Data management and third-parties
The App has one tier of access. Full functionality of the App is obtained upon registering a user account. We begin our collection of personal data from an individual from the point they register a user account with the App.
As set out in Section 7 - Purposes for which we will use your personal data of this privacy notice, VS must consent to the Police generating incident reports of data on their Portal, that has been uploaded to TrustVault by a VS. This can be done by providing a Victim Code for their profile to share a set selected of incidents(unless we have determined that we are required to act in the best interests of a VS or through necessity and refer a VS profile to the Police).
We automatically renew the Victim Code for each VS profile every twelve months. We may also change VS the Victim Code if they request us to do so.
Upon utilising the Victim Code, the Police may generate a report containing personal data that has been shared by a VS and in a format that suits their practices. Upon receiving personal data granted through the consent of a VS and shared through the Portal, the Police become a Data Controller with regards the shared data. The Police’s use of any personal data shared will be governed by their own organisational privacy governance frameworks and would no longer be controlled by us. If the VS Victim Code is changed after the VS has consented to access, the Police would have access to subsequently uploaded data unless the VS provides a new Victim Code to them.
We maintain logs of user interactions with the App for the purposes of distinguishing between genuine and fraudulent accounts and rating the credibility of information and data stored within the App.
12. Data security
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your personal data to those employees, agents, contractors and other third-parties who have a contractual requirement to receive it and are performing a necessary functional role. They will only process your personal data on our instructions and they are subject to a duty of confidentiality.
We have put in place procedures to deal with any suspected personal data breach and will notify you and any applicable regulator of a breach where we are legally required to do so.
13. Data retention
How long will you use my personal data for?
We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory or reporting requirements. We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect to our relationship with you.
To determine the appropriate retention period for personal data, we consider the amount, nature and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means and the applicable legal, regulatory or other requirements.
For most personal data obtained in relation to your use of the App, Platform or Website, this will be retained for 7 years after the VS to whom the personal data relates, ceases to use the App.
In some circumstances you can ask us to delete your data. Please see Section 15 - Your legal rights of this privacy notice for further information.
We may anonymise your personal data (so that it can no longer be associated with you) for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.
14. Situations where a VS lacks capacity
We envisage that situations may arise in which a VS lacks capacity (pursuant to the Mental Capacity Act 2005) to use the App. Depending on the circumstances, we may be required to take certain measures in relation to the VS personal data. These measures are set out in the table below:
Situation |
Measures |
|---|---|
VS is alive and responsive but acting under the coercion of a perpetrator. |
We will treat your personal data in accordance with this privacy notice. |
VS is in a coma or otherwise unresponsive and this is caused by a domestic abuse incident. |
We will be obliged to share the personal data from the VS profile subject to either the provision of a valid court order or in certain cases at our discretion pursuant to the UK GDPR, ICO guidance on Sharing personal data with law enforcement authorities and this privacy notice. In these cases, the Police would be required to give personal details of the VS which match the corresponding profile on the App to gain access. |
VS is in a coma or otherwise unresponsive and this is not caused by a domestic abuse incident. |
We will not share the personal data from the VS profile without consent from the VS, their lawyer or appointed attorney or on provision of a valid court order. |
VS is deceased. |
We will be obliged to share the personal data from the VS profile if requested to do so by the Police. In these cases, the Police would be required to provide an approved data release form and death certificate to gain access. |
VS lacks capacity for any other reason. |
We will be obliged to share the personal data from the VS profile to their legal counsel or appointed attorney on receipt of a valid power of attorney document or a valid court order. |
VS has left the legal jurisdiction of England and Wales. |
We will be obliged to share the personal data from the VS profile if the VS can be traced and consent could be obtained from them (via criminal court procedures). If the VS cannot be traced in such circumstances, then we do not anticipate being obliged to share the VS personal data. |
15. Your legal rights
You have a number of rights under data protection laws in relation to your personal data. For the purposes of this Section 15 – Your legal rights only, personal data will refer to what is held by Tanzco, which is limited to the username and phone number associated with your user account.
It is likely that the personal data of unrelated third-parties (not listed in Section 2 - Important information and who we are of this privacy notice) is processed including but not limited to personal data that is captured in the background of visual evidence, voices and information captured on voice recordings uploaded to the App, Platform or Website. In such instances, our handling, processing, transferring and any disclosure of such personal data shall be strictly compliant with all relevant data protection laws and the rights set out below will be equally applicable to such third-parties.
You have the right to:
Request access to your personal data (commonly known as a "subject access request"). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it. In such an instance, submitting a request will lead to the provision of your username and phone number associated with your user account. No other personal information would be able to be disclosed by us as part of this request.
Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us.
Request erasure of your personal data in certain circumstances. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law. Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.
Object to the processing of your personal data where we are relying on a legitimate interest (or those of a third-party) as the legal basis for that particular use of your data (including carrying out profiling based on our legitimate interests). In some cases, we may demonstrate that we have compelling legitimate grounds to process your information which override your right to object.
You also have the absolute right to object at any time to the processing of your personal data for direct marketing purposes (see Opting out of marketing in Section 8 - Direct marketing of this privacy notice for details of how to object to receiving direct marketing communications).
Request the transfer of your personal data to you or to a third-party. We will provide to you, or share with a third-party you have chosen, your personal data in a structured, commonly used, machine-readable format. Note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.
Withdraw consent at any time where we are relying on consent to process your personal data (see the table in Section 6 – How we use your personal data for details of when we rely on your consent as the legal basis for using your data). What we may need from you
We may need to request specific information from you to help us confirm your identity and ensure your right to access your personal data (or to exercise any of your other rights). This is a security measure to ensure that personal data is not disclosed to any person who has no right to receive it. We may also contact you to ask for further information in relation to your request in order to speed up our response.
